1. WHAT WE DO

An event is not just a place where you stand and hand out flyers. An event is a moment when a person can talk to you face-to-face. It’s rare time when their attention isn’t divided among 10 other apps. It’s a window of opportunity.

And most companies waste that window. Your booth looks like everyone else’s. People walk past. Those who stop grab a flyer and leave. A week later, nobody remembers you were there.

Event Experience Design is our service that turns an event into a tool for creating connections.

What this includes

Event strategy: Before we design space or materials – we define strategy. Who is your ideal visitor? What will attract them to your booth specifically? What impression do you want to leave? What action do you want them to take? (register? meet? see a demo? connect on LinkedIn?). Everything else flows from this.

Spatial design & booth: We design space that attracts. Not because it’s beautiful, but because it makes sense. How is the booth positioned? Can visitors easily approach? Is there space for conversation? Can they leave and return without awkwardness? How visible are your logo and brand from far away?

Journey design: We plan the visitor’s path. How do they learn about the event? What motivates them to come? How do they find your booth? How does the conversation start? How does it end? How do they leave? Every moment is an opportunity or a trap.

Interactive experiences: Boring presentations nobody needs. We create something people want to do. Maybe it’s product demo on iPad where everyone can try it. Maybe it’s a game or contest. Maybe it’s a 15-minute workshop. Something that creates memory.

Brand integration: An event is an extension of your brand. Colors, typography, photography style, tone of voice – everything must align with how you look everywhere else. If you look like a different company at the conference – why would people remember you?

Digital-physical connection: The event doesn’t start on event day. It starts with email, LinkedIn post, reminders. And it doesn’t end at the conference. After the event – thank you email, follow-up, contact. We connect all of this into one system.

2. WHAT PROBLEMS WE SOLVE

  • Your booth looks like your competitor’s booth, and people walk past because they see no difference.
  • People approach, grab a flyer, and leave, not knowing why they stopped or what you offer.
  • You collect 50 contacts at a conference, but 45 never respond to emails, because the impression was superficial.
  • Event looks beautiful in photos but generates no deals, because there’s no structure for real conversations.
  • People come to your event, but they’re not the right people – not your target audience, because there was no attraction strategy.

3. WHY ALMA

  1. Event strategy that starts 3 months before the event

    We don’t call it “event organization.” We call it “connection strategy.” Three months before the event, we already know – who you want to attract, how you’ll do it, what impression you’ll leave, what action will happen. Predictable results, not hope.

  2. Design that attracts people and holds their attention

    People walk past 100 booths a day. Your booth must stop them. Not with a screaming banner, but with interesting design. Logical space. Something that sparks curiosity. We do this through psychology, through spatial architecture, through visual hierarchy.

  3. Structured interaction instead of “standing and waiting”

    People don’t like standing and talking for no reason. They like doing something. Demo, game, quiz, short workshop – all of this structures the interaction. And structured interaction creates memory. People remember not the booth, but what they did at the booth.

  4. Omnichannel event – before, during, after

    An event is not 3 hours at a conference. It’s 6 months. 3 months before (how to attract people), 3 hours at the conference (create impression), 3 months after (maintain contact, create deal). We design all of this as one system.

  5. Measurable results – not just “we were at the conference”

    We define metrics at the very start. How many target people will we attract? How many will remember you a week later? How many will respond to follow-up email? How many will agree to a call? How many will become customers? We work with numbers, not feelings.

4. OUR APPROACH

Phase 1: Event strategy & research (3-4 weeks)

First – strategy. What kind of event? Web Summit? Specialized conference? Internal corporate event? Each requires its own strategy. Who is your target visitor? What attracts them at conferences? What are their pain points? How does your product solve their pain? Based on this, we define key message (1-2 phrases that will be everywhere – in ads, on the booth, on flyers). We define call-to-action (what do we want them to do?). We define success metrics.

Deliverables: Event Strategy Document, Target Audience Definition, Key Message, CTA, Success Metrics.

Phase 2: Spatial & visual design (2-3 weeks)

We design physical space. If it’s a conference booth – how is it positioned? How do people approach? How long do they stand? Where do they look in the first 3 seconds? If it’s your own event – what will the space be like? How do people move? Where do they sit? Where do they stand and talk? Based on space analysis – we design visual appearance. Where’s the logo? Where’s the key message? What colors grab attention? What colors relax? None of this is accidental.

Deliverables: Spatial Layout, Booth Design Specifications, Visual Design, Graphics, Signage Design.

Phase 3: Interactive experience design (2 weeks)

What will people do at your booth? Just talk? That’s boring. We design something interactive. Maybe it’s an iPad where people can explore and see a demo. Maybe it’s a physical game or puzzle. Maybe it’s a VR headset. Maybe it’s a simple paper quiz. The point – people need to do something, feel something, remember something. We create that “something.”

Deliverables: Interactive Experience Concept, Prototypes, Instructions, Setup Guide.

Phase 4: Pre-event marketing & promotion (6-8 weeks)

People must learn about the event. And not just learn – be interested in your booth specifically. We create a campaign. Email to target audience. LinkedIn posts. Maybe Google or LinkedIn ads. Everything drives the right people to your booth. And they know in advance what awaits. “Come to our booth, we’re showing VR demo” sounds better than “come to our booth.”

Deliverables: Marketing Campaign, Email Templates, Social Media Posts, Promotional Materials, Landing Page.

Phase 5: On-site coordination & materials (2-4 weeks before event)

Materials that will be at your booth. Flyers, but not boring ones – attractive, with one clear CTA. Business cards people won’t trash at the exit. Roll-ups and posters. All materials align with booth design and event aesthetic. We coordinate logistics – when and how is everything delivered? How is the booth set up? Who will be there? How is the demo or interactive experience run?

Deliverables: Print Materials, Setup Checklist, Staff Training, On-site Equipment List, Backup Plans.

Phase 6: Post-event follow-up & nurture (4-8 weeks after event)

Event is over. Now comes the most important part. Contacts you collected at the conference must become relationships. Thank you email. Email with additional information. Email with call-to-action (book a demo, meeting). Maybe LinkedIn connection with personal message. Maybe special offer for conference attendees. The point – people must know it’s you, the people from the booth they remember. And the next step should be obvious.

Deliverables: Follow-up Email Sequence, CRM Integration, Nurture Campaign, Conversion Tracking.

Phase 7: Analytics & optimization (Ongoing)

How many people walked past? How many stopped? How many took a flyer? How many emailed? How many responded to follow-up? How many booked a demo? How many became customers? We track all of this. Based on data, we determine – what worked, what didn’t. And if you go to another conference – we make it better next time.
